Why luxury hotels need to start thinking like event planners

Events expert and hospitality consultant Liz Taylor argues that five-star venues can learn powerful lessons from the live events world - from emotional design to theatrical guest journeys.

When it comes to creating unforgettable guest experiences, no one knows the art of impact quite like the live events industry. For decades, we’ve been choreographing emotion, every light cue, scent, song, and smile designed to make people feel. That’s something luxury hotels, for all their polish, can still learn from.

Because let’s face it: beautiful décor and impeccable service are now the bare minimum. True luxury is no longer about thread count or the size of the wine list. It’s about connection, theatre, and storytelling. It’s about how you make your guests feel.

And that’s where the worlds of events and hospitality collide. The most successful venues and event planners will be those who collaborate like producers, here’s how...

Lead with emotion, not routine
Every unforgettable event begins with one question: how do we want people to feel? Hotels need to ask the same. From check-in to check-out, guests should be taken on a journey where every touchpoint is curated with emotion in mind, crafting moments that surprise and delight, and always exceeding expectations.

Design for the Instagram era
Events are designed for impact. Think immersive backdrops, unexpected details, lighting that flatters, and spaces that beg to be shared. Luxury hotels need to adopt that same creative lens. Today’s guests want stories to tell. A lobby installation, a signature scent, a moment of theatre. These are the details that define a brand. It’s smart business.

Rehearse the experience
Flawless execution doesn’t happen by chance. In live events, there is no “winging it.” Every transition is rehearsed, every cue timed. The same discipline to their guest journey. Precision and consistency are what separate five stars from unforgettable.

Personalisation is the new VIP
Any good event planner knows the power of small details; the guest who finds their favourite drink waiting, the speaker who walks into a room that reflects their brand. The truly great hotels use intuition and insight to anticipate needs; remembering preferences, tailoring experiences, and making each guest feel individually valued. Luxury is all about personal service. Technology can support it, but intuition still wins.

The power of the reveal
Events thrive on theatre. The big reveal, the transformation, the crescendo. Hospitality should borrow from that playbook. Seasonal transformations, immersive dining, curated playlists, or subtle scent branding. All of it contributes to transforming a stay from enjoyable to extraordinary.

Your people are the performance
In events, the team behind the curtain is as important as what’s happening on stage. The same applies to hotels. Your team are the storytellers of your brand. Training, motivation, and culture are everything. A hotel can have the most opulent setting in the world, but if the staff aren’t engaged and inspired, the magic disappears.

Think like a producer

Luxury hospitality should think less like a service provider and more like a show producer. Every guest stay is a performance and those who master that art of emotional storytelling will lead the next chapter of luxury travel.

It’s not so different from the live events world I’ve built my career in. Both demand precision, creativity, and emotional intelligence. My consultancy work with leading hotels proves it. Those who think like producers, curating every guest journey as a performance, are the ones who will thrive.

Because in my world, mediocrity isn’t an option. Nor should it be in yours.
