HeadBox has launched a new AI-powered corporate booking experience designed to remember and learn from users’ preferences, while announcing plans to expand its venue platform into 100 cities worldwide.

The new Booker experience is now live for HeadBox’s enterprise clients, with the company saying it will use AI to support the process of qualifying briefs, sourcing venues, comparing proposals and making bookings.

The platform is designed to learn from each event, including which venues users select, which proposals succeed and which events ultimately go ahead.

Andrew Needham, founder and CEO of HeadBox, said the development marked a shift in the role of the platform.

"Today the HeadBox platform moves from a system of record to a global system of intelligence for meetings and events, so every brief, sourcing decision and event adds to a memory that compounds," said Needham. "It caps a transformational 12 months. We won two Business Travel Awards, Meetings and Events Partner of the Year and Technology and Innovation in Meetings and Events 2025, and three major enterprise clients in property services, telecoms and retail, with more to come. Now we're bringing our unique, inspiring and iconic venues to 100 major new cities across the world over the next six months. This global footprint backed with major office hubs in New York, London and Sydney gives us a strong platform to service our growing global mandated enterprise customers".

HeadBox said the new platform is intended to remove administrative and operational work from event planners, while leaving human experts responsible for key judgement calls.

"For event planners this means elevating their day-to-day roles by removing the administrative and operational work so they can focus on the things that really matter: creating exceptional events" Needham added.

An agentic layer within the platform can qualify, source and book smaller, repeatable events automatically, with the system learning from each transaction.

Gavin Spurling, chief technology officer at HeadBox, said the company's existing booking data gives it an advantage as it develops its AI proposition.

"AI has transformed meetings and events," he said. "Legacy players can't keep pace, and AI-first newcomers bring speed without expertise, which just means faster mistakes. We’ve chosen to be AI -smart. A decade of booking data helps turn our platform into a system of intelligence that remembers your team, your preferences and every event you've ever run, and learns from it.

"The result is the intelligence of an AI-smart platform with the judgement of human experts, so every booking is faster, sharper and more personalised to the person making it".

HeadBox said the new experience had been tested with its major enterprise customers during a beta phase, with every user describing it as a significant improvement on the previous platform.

HeadBox targets 100 cities

The platform's technology push comes alongside an accelerated international expansion.

HeadBox is going live in 10 additional North American cities today: Washington DC, San Francisco, Austin, Philadelphia, Houston, Orlando, Montreal, Chicago, Boston and Las Vegas.

The company already operates in North America and is strengthening its New York presence, with Grace Louisy, formerly HeadBox for Business UK managing director, stepping up to lead its North American operation.

"North America is the biggest meetings and events market in the world, and as more of HeadBox's enterprise clients become global, we need to be there with them," said Louisy. "We’ve been managing and delivering meetings and events in North America, our fastest-growing region, for the last five years. So I'm delighted to be expanding our New York office and going live today in 10 more cities, with another 30 in North America coming onboard before the end of the year."

HeadBox plans to bring its venue offering to 100 cities worldwide over the next six months, which it says will double its footprint every three months.

The company currently claims more than 100,000 spaces worldwide and says its platform has been used by more than 150,000 bookers to plan over 500,000 events across six continents.

HeadBox said the expansion is being driven by growing demand from globally mandated enterprise customers.
